Offline billing software: a restaurant POS that works without internet
The broadband drops at 8:40pm with fourteen tables seated. Here is exactly what NamastePOS does next.
What happens when the network goes:
- The order is written to the phone the moment you take it. The device is the record, not a browser tab.
- The KOT and the bill still print on a Bluetooth printer paired to the billing phone. Cash and UPI are still recorded. Network printers and the kitchen display screen need a connection and catch up when it returns.
- When the connection returns, the held orders replay in order, each with the ID it was created with.
- The server accepts each ID once. A retry cannot create a second bill, so nobody is charged twice.
There is no offline mode to switch on and nothing to remember mid-rush. Offline billing is part of the core POS, so it is on every plan including the free one.
What offline billing means here
The device is the record
Orders are saved locally as they are taken, not queued in a page that a refresh can wipe.
Accepted once, never twice
Each order carries its own ID, made on the phone. The server accepts it once. Retries are ignored, not duplicated.
Bill now, tax invoice on sync
Bills you print offline carry a bill number and estimated tax; the GST tax invoice, with its number in your financial-year series, is issued when the order syncs.
Nothing to switch on
No separate offline app, no toggle, no reconnect dance. Your staff will not notice the difference.
Most "cloud POS" is only as good as your WiFi
Three ways billing software fails during an outage, and what we do instead.
A browser tab is not a POS
Software that runs in a browser tab loses the cart when the page reloads or the phone locks. NamastePOS is an installed app that writes to the device first.
A desktop POS ties you to one box
A machine in the back room keeps billing during an outage, but it also brings a PC, an AMC and a person who has to come and fix it. Your phone needs none of that.
A blind retry double-bills
A queue that resends without an identity creates duplicate bills, and you find them at day-end. Our order IDs are made on the device and accepted once.
What works offline, and what does not
Some things genuinely need a connection. Pretending otherwise would waste your time.
| Job | With no internet |
|---|---|
| Taking orders at the counter or the table | Works |
| Printing a KOT on a Bluetooth printer paired to the billing phone | Works |
| Printing the bill and recording cash, UPI or card as the payment mode | Works |
| Tables, floors, captain mode and token numbers | Works |
| Network (LAN / Wi-Fi) kitchen printers and the kitchen display screen | Needs a connection; catches up when it returns |
| The GST tax invoice number in your financial-year series (the offline bill carries a bill number and estimated tax) | Issued when the order syncs |
| Zomato and Swiggy per-channel reports and payout reconciliation | Needs a connection |
| WhatsApp receipts and campaigns | Needs a connection |
| The web dashboard on another device, and live reports off the phone | Needs a connection |
| Anything that talks to a payment gateway or a government portal | Needs a connection |
Counter billing, KOT printing, tables and token numbers are on every plan; the kitchen display, multiple floors and captain mode start on Growth.
Why a bill can never be charged twice
This is the failure that costs money and trust. The fix is boring and it matters.
- The order ID is generated on the phone when the order is created, not by the server.
- If the reply is lost and the phone retries, it sends the same ID again.
- The server recognises the ID it has already accepted and returns the original order instead of writing a new one.
- Refunds, wallet top-ups and payments follow the same rule.
- Anything that still cannot be sent is shown in a Failed-to-sync list you can see, never lost.
The rest of the POS, on the same phone
Offline is the reason owners switch. It is not the only thing they need.
- The phone is the till. No PC, no billing machine, no AMC.
- Staff sign in with their phone number and a 4-digit PIN.
- KOT printing on every plan, including the free one; kitchen display from Growth.
- GST tax invoices with CGST/SGST and HSN per item from Growth at ₹299 a month. E-invoice-format documents from Pro at ₹599 a month (filing needs a GSP connection, not live yet).
- Loyalty, wallet, memberships, WhatsApp receipts and QR self-ordering included.
- Live reports on every plan. No report paywall, no annual lock-in.
